Our dispatch team arranges rides to and from Kay Bailey Hutchison Convention Center and nearby hotels through vetted local affiliates. The service supports individual attendees, small teams, and group shuttles for multiple days. Chauffeurs are familiar with designated loading zones at the convention center and major downtown hotels. Vehicles range from sedans and SUVs to sprinter vans and mini coaches. We can also provide hourly standby for executives and speakers with tight schedules. We can staff a dedicated greeter at the airport to direct attendees. Dispatch tracks flights and delays for group arrivals. Advanced planning helps align vehicle timing with event load-in and load-out windows.
Meeting planners, exhibitors, and corporate groups use this service.
Pharmaceutical, technology, finance, and energy trade associations host large shows in Dallas. Attendees stay at the Omni Dallas, Hyatt Regency Dallas, Hilton Anatole, Fairmont Dallas, and Westin Galleria. Meeting planners reserve sedans for VIP airport transfers and vans for staff shuttles. Exhibitors transport booth staff and samples between hotels and the loading dock. Sales teams move between hotels, the convention floor, and client dinners in Uptown or Deep Ellum. Dallas hosts major conventions year-round, with peak seasons in spring and fall. Kay Bailey Hutchison Convention Center covers more than one million square feet of exhibit space. It sits near Interstate 30 and Interstate 35E just west of downtown Dallas.
Pricing combines route-based transfers and hourly shuttle blocks.
Sedan transfers from DFW to Downtown Dallas start at $130, and Dallas Love Field to Downtown Dallas starts at $130. Sprinter van group shuttles start at $195 for the same downtown corridor. Hourly shuttle service for multi-stop convention routes starts at $120 per hour for sedans and $135 per hour for vans. Multi-day event packages can lock in lower rates. Airport meet-and-greet service is available for an additional fee. Tolls, parking, greeters, and late-night fees are itemized separately. Overtime is billed in thirty-minute increments after the reserved block. Invoices can be split by attendee or billed to a master account.
Load-zone permits and event traffic are the main limitations.
We do not control convention center logistics or parking assignments. Curbside pickup inside the facility may require permits that the event organizer must arrange. Major shows can create heavy traffic on I-30, I-35E, and local downtown streets. Hotel shuttle loops may require a minimum number of hours per day. Last-minute additions during peak load-in periods may not be possible due to affiliate availability. Street closures for festivals can affect pickup timing. We recommend finalizing manifests and pickup times at least 72 hours before the event opens.
